Knowledge transfer (KT) was previously discussed in Step 4 “Co-create the future” and should now be revisited to determine whether planned knowledge transfer activities have been completed.
Knowledge transfer sign-off confirms and documents that the agreed Knowledge transfer objectives have been met and that the relevant information has been appropriately transferred from the programme/project team members to specifically identified stakeholders.
Knowledge transfer can take place using different formats such as workshops, one-on-one sessions, briefings or through joint working. It is important that sessions are documented, and the knowledge transfer sign-off form used to verify involved individuals including leadership and employees have gone through the knowledge transfer process.
7.1.1. Knowledge transfer sign-off – the process
1. Prepare for knowledge transfer meeting
Establish an agenda and develop the content for the knowledge transfer meeting
Once an agenda has been established, verify alignment with the knowledge transfer plan and seek approval from the relevant stakeholders
Prepare the relevant knowledge transfer content for the meeting.
2. Execute Knowledge transfer meeting
Conduct knowledge transfer meeting with the relevant stakeholders
Document any concerns or areas for improvements.
3. Define the next steps
Once the knowledge transfer has been completed in keeping with agreed requirements, fill out knowledge transfer sign-off form for submission and approval by the relevant stakeholder
The tracker in the knowledge transfer sign-off template should be updated and reviewed regularly to ensure that progress is monitored, and any issues or risks identified are escalated.
